Curation Workflow

Check out the Data Curation Workflow!

There are two ways for publishing datasets in DataRepositóriUM, defined by distinct permission levels granted to users: publication without a prior review process (auto-deposit publication) and publication following a review process by a collection curator (mediated deposit publication). In both ways, DataRepositóriUM support staff validate new deposited datasets, according to the Data Curation Workflow as detailed below.

The publication of datasets in DataRepositóriUM includes the following steps (Figure 1):

1. User registers in DataRepositóriUM by creating a new user account and accepting the General Terms of Use;
2. Data Curator identifies the creation of new user accounts and confirms their affiliation, namely to the University of Minho or authorised partners and/or those interested in collaboration;
3. Data Curator attributes the permissions appropriate to the profile (restricted, extensive, user-curator);

3. Deposits the dataset in the repository collection to which he/she has been granted permission. Namely, pre-deposits the dataset, organises it, describes it and submits it for review (creates a draft version of the dataset not visible to everyone, but only to the repository support team and collection curator); 3. Deposits the dataset in the repository collection to which he/she has been granted permission, organises it, describes it and publishes it (visible to all); 3. As a user with extended permissions:
  • Deposits the dataset in the repository collection to which he/she has been granted permission, organises it, describes it and publishes it (visible to all);
As curator of the collection:
  • Validates the description and quality of datasets deposited and submitted for review by users with restricted permissions in their collection;
  • Improves dataset quality and its description with or without datasets’ author support;
  • Approves the publication of datasets in the repository (with or without changes made to the dataset).

4. Data Curator is notified of the dataset submission;
5. Data Curator validates the description and quality of datasets, checking the metadata, organisation and file formats, terms of use and other issues contained in the curation checklist;
   5.1. Data Curator makes corrections of the mandatory metadata (minor updates);
   5.2. Data Curator suggests changes and improvements in the metadata and dataset organization (major updates);
6. Data Curator validates the dataset publication once all corrections have been made;
7. User receives notification by e-mail;
8. The process of dataset publication/ validation of the published dataset is closed.

P.S.:
1. User can contact Data Curator whenever he/she needs to.
2. Data Curator can remove access to the published dataset if it does not comply with the Terms of Use and the user does not make corrections;

Schematically, the dataset publication process is presented in Figure 2:
